Getting Set Up in HubSpot

Your day-one setup: email, calendar, meetings, calling, and everything else that makes the system work for you.

This is the day-one setup. Work through it top to bottom and you'll be fully connected in about twenty minutes. Everything here is something you do for yourself — you don't need an administrator, and you don't need to be technical.

Do these in order. A few steps depend on earlier ones. Most notably, HubSpot won't let you connect a calendar until your email is connected, so skipping ahead just produces a button that won't cooperate.

Before you start
  • Be signed into the right account in your browser. If a personal Gmail is open in the same browser, HubSpot will happily connect that one instead of your work account. Sign out first, or use a separate browser profile.
  • Use your work email — the address you actually email customers from.
  • Use a desktop browser. Set up on your computer, then add the mobile app at the end.
  • Your address should be yours alone. A shared address like info@ or support@ is a team inbox and gets connected differently, by an administrator. If you're not sure which you have, ask your admin before you start.
Step 1 — Finish your profile

Small step, real payoff. Your name, photo, and time zone show up on every email you send and every meeting invitation you issue. An unfinished profile is the first thing customers notice.

  1. Click your profile picture in the top right corner, then click Profile & Preferences.
  2. On the General tab, confirm your first and last name, add a photo, and enter your phone number.
  3. Check your time zone and date formatting. This one matters more than it looks — a wrong time zone means every meeting you schedule is offered at the wrong hour.
  4. Save.
Step 2 — Connect your email

Connecting your email lets you send from inside HubSpot using your own address, and lets HubSpot log those conversations automatically against the right contact. Replies still arrive in your normal inbox exactly as they always have. Nothing about how you use email day to day has to change.

  1. Click the settings icon (the gear) in the top navigation bar.
  2. In the left sidebar, go to General.
  3. Click the Email tab.
  4. Click Connect personal email.
  5. You'll see a checkbox for Turn on inbox automation. This lets HubSpot pull contact details out of your emails and suggest follow-up tasks. Most people leave it on, and you can change it later either way.
  6. Click Connect your inbox.
  7. Enter your email address and click Next. HubSpot will try to identify your provider and offer Connect to [provider]. If it guesses wrong or can't tell, click I want to choose my email provider myself and pick from the list.
  8. Complete the sign-in for your provider:
    • Google / Gmail — read the disclosure, click Continue, choose your account, review the permissions, and click Allow.
    • Office 365 / Outlook — confirm you're on the correct account, review the permissions, and click Yes.
  9. You'll land back in your email settings with your address listed as connected.

On Exchange? Exchange connections vary by server configuration, and if your inbox uses two-factor authentication you'll need an app password rather than your normal one. If you're on Exchange Online specifically, the Outlook integration is the better route. Don't fight this one alone — ask your administrator or contact support.

Step 3 — Connect your calendar

This is what powers scheduling: prospects and customers can book time with you directly, and meetings you create in HubSpot land on your real calendar instead of living in two places.

  1. Click the settings icon in the top navigation bar.
  2. In the left sidebar, go to General.
  3. Click the Calendar tab.
  4. Click Connect your calendar.
  5. Choose Google / Gmail or Office 365, then click Connect your calendar.
  6. Review the dialog and click Accept and connect to [Google / Office 365].
  7. Sign in and approve — Allow on Google, Yes on Office 365.
  8. You'll be redirected to the meetings dashboard.

While you're in the Calendar tab, check two settings:

  • Calendar Sync — turn this on so meetings you create in HubSpot appear on your real calendar.
  • Meeting Scheduling Pages — on by default. If you keep more than one calendar, add them under Availability Calendars and click Save. HubSpot checks every calendar you list before offering someone a slot, so it won't book you over a commitment it couldn't see.

Step 4 — Set up your meetings link

Your meetings link is the URL you drop into an email instead of trading four messages about Tuesday. Set it up once and you'll use it constantly.

  1. Navigate to Library > Meetings (in some accounts this appears under the Sales menu).
  2. Open your personal scheduling page, or create one.
  3. Set your availability windows — the hours you're genuinely willing to take meetings, not the hours you happen to be at your desk.
  4. Set a buffer between meetings and a minimum notice period so nobody books you fifteen minutes from now.
  5. Copy the link and add it to your email signature in Step 6.
Step 5 — Set up calling

Calling lets you dial contacts from their record, log the call automatically, and keep notes attached where the next person will actually find them.

Calling requires an assigned paid Sales Hub or Service Hub seat. If you don't see the Calling tab, you may not have one — check with your administrator.

Registering your existing number means customers see your familiar office or mobile number as the caller ID, and callbacks ring your actual device rather than routing through HubSpot.

  1. Click the settings icon in the top navigation bar.
  2. In the left sidebar, go to General, then click the Calling tab.
  3. Click Connect calling if it isn't already on.
  4. Click Add phone number.
  5. Enter your phone number and an extension if you use one.
  6. Verify the number using the code HubSpot sends you.

Two things worth knowing. Every user registers their own number individually, even when an entire office shares one line — an administrator cannot do this on your behalf. And if your organization uses HubSpot-provided numbers or a third-party provider like RingCentral or Aircall instead, your administrator handles that setup and will tell you what to do.

Step 6 — Install the email extension and set your signature

The extension puts HubSpot inside the inbox you already live in, so you can log and track emails without switching tabs.

  1. Install HubSpot Sales for Chrome (for Gmail) or the HubSpot Sales add-in for Outlook.
  2. Sign in with the same account you've been using.
  3. Open your email and confirm the HubSpot panel appears alongside your messages.

Then set your signature: go to Settings > General > Email, find your connected inbox, and edit the CRM email signature. Include your meetings link from Step 4. This signature applies to one-to-one emails you send from HubSpot — it's separate from the signature in your regular email client, so you'll want them to match.

Step 7 — Add the mobile app and tune your notifications

Install the HubSpot mobile app and sign in. It's genuinely useful for logging a call from the parking lot before the details evaporate.

Then spend two minutes on notifications, under Settings > Notifications. The defaults are generous. Turn off what you won't act on — a notification stream you've learned to ignore is worse than no notifications at all, because eventually you'll ignore the one that mattered.

Your setup checklist
  • Profile complete — name, photo, phone, correct time zone
  • Email connected
  • Calendar connected, with Calendar Sync on
  • Availability calendars added, if you keep more than one
  • Meetings link configured and tested
  • Phone number registered and verified
  • Email extension installed
  • Signature set, with your meetings link in it
  • Mobile app installed
  • Notifications tuned
Check that it worked

Two tests, both under a minute.

  1. Email — open any contact record, send yourself a short email from HubSpot, and confirm it arrives and appears on the contact's timeline.
  2. Calendar — open your meetings link in a private browser window and confirm the offered times match your real availability. If it's offering a slot you're already booked in, your availability calendars aren't all connected.
If something doesn't work

The calendar won't connect. Your personal email isn't connected yet. Finish Step 2 first.

You connected the wrong account. Disconnect it in the same settings screen, sign out of the wrong account in your browser, then reconnect.

Your address is already connected somewhere else. A single email address can't be both a personal inbox and a team inbox in HubSpot. If yours is connected to the shared Conversations inbox, it can't also connect to the meetings tool. Your administrator will need to sort out which one it should be.

Emails aren't logging to contacts. Check your log and track defaults in your email settings, and confirm the contact's email address in HubSpot matches the one you're actually writing to.

Meetings are getting double-booked. Add every calendar you use under Availability Calendars. HubSpot can only avoid what it can see. Also note that if you lose access to a calendar you've listed, bookings stop working entirely until you regain access or remove it.

You can't see the Calling tab. Calling needs an assigned paid Sales or Service Hub seat. Ask your administrator.

A note on security

These connections use secure, revocable authorization — not shared passwords. You are never handing over your credentials, and you can disconnect any account at any time from the same settings screen you used to connect it.
