If HubSpot is brand new to your team, this article is your orientation, the lay of the land before you dive in. You don't need to learn everything at once. You need to understand a handful of core concepts, and the rest falls into place from there.

The building blocks

Almost everything in HubSpot is organized around a few core record types. Understand these and the whole platform starts to make sense:

  • Contacts are individual people, your leads, prospects, and customers.
  • Companies are the organizations those people belong to. Contacts are associated with companies, so you can see everyone you know at a given account.
  • Deals are the opportunities, potential sales moving through your pipeline toward a close.
  • Tickets are support or service requests, the unit of work for helping customers.

These records connect to each other, so a contact links to their company, the deals they're part of, and the tickets they've opened. That web of relationships is what makes the CRM powerful: everything about a customer in one place.

Where you'll spend your time

HubSpot organizes work into focused workspaces, dedicated spaces designed for a particular job, like a sales workspace for managing deals or a help desk for handling tickets. Rather than hunting through menus, you go to the workspace built for what you're doing. As your system takes shape, you'll get comfortable with the ones your role uses most.

Activity lives on the record

One habit worth building early: HubSpot keeps a timeline of activity, emails, calls, notes, meetings, on each record. When you log your work in the moment, everyone gets a complete, shared history of every customer. This is the core discipline that makes a CRM valuable, and it's a small habit that pays off enormously.

You won't learn it all at once, and that's fine
