A shared inbox turns a scattered mess of individual mailboxes into one place your whole team can see and work from. Setting it up well is less about clicking through screens and more about making a few good decisions up front. Here's what goes into it, and where we help.
Decide what feeds the inbox
The first decision is which channels flow into the shared inbox. Most teams start with a team email address (like support@ or hello@) and often add live chat so website conversations land in the same place. The goal is that everything a customer sends, however they send it, ends up in one shared view rather than scattered across personal inboxes.
Connect the channels
With the channels decided, they get connected to the inbox, the team email address, chat, or others. Connecting email properly is what lets your team send and receive from the shared address as a unit, so replies come from the team rather than from one person's personal mailbox. We make sure this is wired up cleanly so nothing gets missed.
Set up your team and routing
Next comes who's involved and how work is divided. You decide who has access to the inbox, and whether incoming conversations should be automatically assigned to specific people or left for the team to pick up. Even simple routing rules prevent the two classic failure modes: messages everyone assumes someone else has, and messages two people answer at once.
Add the finishing touches
A few small settings make daily use much smoother, saved replies for common questions, a clear signature, and basic automation to keep things organized. These aren't strictly necessary to go live, but they remove friction and make the inbox pleasant to work in, which matters for adoption.
